Chapter 37. Add an Alias

Overview

Use the Add an Alias tool to create a new alias. Provide an alias name, description and a list of email addresses to which email sent to this alias will be forwarded. If virus scanning is enabled for your site, you may also set virus scanning options for this alias.

How an email alias works

An alias is an email address or mailbox that represents a list of other email addresses. Every email message received by the alias is automatically forwarded to every email addresses on the alias list.

An alias is a simple device that provides a couple of advantages. First, while addresses on the alias list change, the alias name remains the same. Mail can always be sent to the same alias name, relieving individual users of having to maintain a list of addresses and updating it every time an address changes. Instead, address changes only need to be made in one place by the administrator who maintains the alias list. Secondly, rather than putting all the individual recipient addresses in the 'To:' line, an email only has to be addressed to the alias, and will then be forwarded to all the recipients on an alias list.

Kavi software applications create and utilize a number of aliases, called system aliases. The most widely employed alias is the administrative alias, used by applications on outgoing email and on incoming email by users seeking support. Most web sites use an alias in the "admin@mydomain.org" format as the administrative contact address. Email sent to the admin alias are forwarded to managers' and administrators' personal email addresses without directly exposing those addresses. Unlike mailing lists, which are built on the aliasing mechanism, but have the added ability to enforce complex rules, aliases do not apply any rules before simply forwarding every email to every recipient on the alias list. Aliases do not support other features commonly found in mailing lists: they are not moderated, are not archived and cannot be managed using email commands. However, incoming mail can be screened for viruses before entering the alias mailbox and messages containing viruses can be rejected, rather than entering the alias mailbox and being automatically forwarded to alias list recipients.

How to use the Add an Alias tool

Add

Add a name and description for this alias, specify whether or not email sent to this alias will be scanned for viruses, and add the list of email addresses to which email sent to this alias will be forwarded. Click Save when you are done configuring the new alias.

Options:

Alias Name

Alias names must be all lowercase and may contain alpha-numeric characters, underscores (_), dashes (-) or periods. Spaces and special characters are not allowed.

The system automatically appends the "at sign" and domain name to the alias, so you should not add them to the alias name when creating an alias. For example, an alias is added and 'aliasname' is entered for the alias name. If the domain is 'host.domain.tld', the system will store the alias as 'aliasname@host.domain.tld', and this will be the address you would use to send mail to the alias.

Once an alias has been created, the name cannot be edited.

Description

A short plain-text description of this alias, maximum 70 characters in length.

Scan for Viruses

Yes or no, do you want email sent to this alias to have virus scanning enforced automatically? This option will be available if virus scanning is enabled for your site.

  • If 'yes', then incoming email will be pre-screened for viruses, and email containing viruses will be rejected rather than posted to the alias mailbox.

  • If 'no', incoming email will not be filtered before entering the alias mailbox and will simply be forwarded to all recipients on the alias list.

Email Addresses

The list of email addresses to which email sent to this alias will be automatically forwarded. Email addresses must be in text-only format, separated by new lines, e.g.:

info@example.org

bill@example.com
